Searching for Requests, Users & Suppliers using Search Tools

The Super Admin user and all Local Group Administrators and Panel Administrators will have the option to use Search Tools to search for Requests, Users and Suppliers.

To open up Search Tools, select the option under the Admin Tools menu either in the menubar at the top of any page or on the homepage on the left-hand side menu.

There are three tabs available: Find RequestsFind Users and Find Suppliers.

Please note

Please note that an Admin will need to have the Local Group Administrator role assigned to them to be able to search for Users and they will need to have the Panel Administrator role assigned to them to search for Suppliers. Without the roles assigned they won't see the option to find the corresponding entities.

The Super Admin can manage admin roles for each Administrator. Please find information on how to do this here: Adding & Removing Administrator Roles.

Find Requests

Admins can search for requests by entering either the request name or the VP reference number of the request and clicking on the Search button. A partial name or reference number can be entered and any results including the search term/number will come up in the results below.

The results will include the following information:

  • Request Name
  • Ref Number
  • Buyer
  • Active (Y/N)
  • Approved (Y/N)
  • Open Date
  • Close Date
  • List Type (Internal/External)
  • Responses

Clicking on the Request Name will bring up the Request Details in a pop-up window.

Hovering over the Buyer's name will display the buyer's Local Group and contact details.

Clicking on the blue numbered button under Responses will direct the admin to a new page where the responses to the request can be viewed.

Please note

Please note that Admins will only be able to view responses against requests where they have access to manage the user. For example, a Local Group Administrator will need to be managing the local group the buyer is registered in to be able to view the responses against the request.

If they do not have access to manage the user then they will be given an error message stating they do not have the appropriate permissions to view those details.

Find Users

Admins can search for users by entering either the user's name or email address and clicking on the Search button. A partial name or email address can be entered and any results including the search term will come up in the results below.

The results will include the following information:

  • Full Name
  • Email
  • Local Group
  • Primary Role (eg. Standard Buyer, Local Group Manager, Local Group Administrator)

Hovering over the Buyer's name will display the buyer's Local Group and contact details.

Clicking on the Local Group name will direct the admin to that Local Group's list of users.

Please note

Please note that admins will only be able to view the list of users in a local group where they have access to manage that local group. For example, a Local Group Administrator will need to be managing the local group to view the list of users in the group.

If they do not have access to manage the local group then they will be given an error message stating they do not have the appropriate permissions to view those details.

Find Suppliers

Admins can search for suppliers on their internal enterprise supplier lists by entering either the supplier's name or email address and clicking on the Search button. A partial name or email address can be entered and any results including the search term will come up in the results below.

The results will include the following information:

  • Full Name (of the Primary Contact)
  • Email Address (of the Primary Contact)
  • Business
  • Supplier List
  • Active (Y/N)
  • Approved (Y/N)

Hovering over the Supplier's Full Name will display the supplier's contact details.

Clicking on the Business name will bring up the supplier's profile details in a pop-up window.

Clicking on the Supplier list will direct the admin to the list of suppliers registered in that supplier list.

Please note

Results will only include supplier profiles on Internal enterprise supplier lists, it will not include profiles on External supplier lists.

Users can search for supplier profiles on both Internal and External supplier lists using the Search for a supplier tool.
