The Super Admin or a Local Group Administrator can add approval triggers against a Local Group to set a minimum number of suppliers to be invited to a request, based on the expected dollar value. If you have a policy that requires a certain number of suppliers to be invited for specific value ranges, this functionality can send any Requests that don’t meet your policy requirements for approval, while allowing those that do to go directly to suppliers.
This functionality is not enabled by default. Please contact the VendorPanel Support Team to have this feature turned on.
These triggers can be set at an Enterprise level by the VendorPanel Support Team to apply to all Local Groups. You can find a template further down the page that you can use to contact the VendorPanel Support Team to request changes to supplier requirements at an Enterprise level.
Setting Thresholds at a Local Group level
The instructions below detail how you can set minimum supplier selection requirements by value threshold for specific Local Groups:
- Select Local Groups and Users under the Admin Tools menu (either in the top menubar or on the homepage on the left-side menu).
- Click on the blue arrow icon to the right of the relevant Local Group, and then click on the Edit local group option.
- Go to the Request Settings section and under 'Setup REQUEST APPROVAL THRESHOLDS AND TRIGGERS' setting, click the Click to set thresholds link.
- Click the Minimum number of suppliers invited to respond to Requests button.
- For each Request value, select the radio button against the number of the minimum number of Suppliers a Buyer must invite to respond to an Request.
- When finished, check the box against ENABLE these thresholds for this local group? and then click on Save.
Requesting Default Minimum Supplier Thresholds for your Enterprise
The thresholds can be set at an Enterprise level to apply to all local groups by the VendorPanel Support Team on request from the Super Admin.
When the default thresholds are set by the VendorPanel Support Team, these thresholds can be applied to all local groups and users at once. They cannot be applied only to selected local groups.
Any custom thresholds you have previously set against specific Local Groups and/or Buyers will be overwritten by the default thresholds but can be adjusted again in future by the Super Administrator or Local Group Administrator.
Please request changes to the default minimum number of suppliers against each Request Value on the VendorPanel Submit a Request page, ensuring to include the below information:
- Super Admin's name and contact details
- Indicate you are requesting Changes to the default minimum number of suppliers against each Request Value
- Specify that you want the settings to be applied to all of your Local Groups.
- When filling out the below table, ensure that against each Request Value you put an X in the box under the minimum number of supplier thresholds you wish to set by default.
- For example, if the minimum number of suppliers to be selected is 4 suppliers when the Buyer has set the Estimated Request Value at 2,500 to 10,000, then put an X in the '4' column against the specific row for that value and leave all other boxes blank.
Please highlight the entire below table and copy and paste the table into the textbox on the VendorPanel Submit a Request page. Ensure you've put an X against all Request Values to indicate the threshold.
