Administering Individual & Local Group Request Templates

The Super Admin and Local Group Administrator are able to turn on and off Local Group Request Templates, Individual Request Templates, or Request Templates as a whole for the Local Groups they manage. When Local Group Request Templates are enabled, they, along with any Local Group Managers, can create Request Templates that are available to all Buyers/Managers in the Local Group.

Enabling Individual & Local Group Request Templates

Individual Request Templates allow Buyers to create a template for a Request that they repeatedly use. Local Group Templates are RequestTemplates that all Managers/Buyers within a Local Group have access to use. 

The below steps will guide you through how these can be enabled in each Local Group's settings:

  1. Select Local Groups and Users under the Admin Tools menu (either in the top menubar or on the homepage on the left-side menu).

  2. Against the required list, click on the blue arrow icon to bring up the options. Select Edit local group.

  3. By default, Request Template functionality and Individual RequestTemplates will be turned on, with Local Group Templates turned off. Make changes to the settings by clicking on the desired radio buttons.

  4. Once done, click on the blue Save button at the bottom of the page.

Repeat the above steps for each required Local Group.

Creating Local Group Templates

Local Group templates are created in the same way as individual templates. You can find instructions on how to create individual templates here: Creating and Utilising Request Templates (please refer to the below when choosing a library).

  1. When choosing the Library for your Request Template, click on the Local Group radio button, under the Link your new template to a library heading.

    User privileges
    • If you are a Local Group Manager, you will only be able to assign to your Local Group.
    • If you are a Local Group Administrator, you will be able to assign templates to the Local Groups you manage.
    • If you are a Super Admin, you will be able to assign to any Local Group with Local Group Templates enabled.
    Please note

    Local Group Templates must be turned on for the relevant Local Group to be eligible to be assigned.

  2. Choose the Local Group that you wish to assign the Template to and either link to an existing template library or create a new library for your template (refer back to the Creating and Utilising Request Templates article).

Copying Templates to other Local Groups

If you have existing individual or Local Group templates, you may wish to make these available to other Local Groups. Please follow the instructions below:

  1. Hover over My Requests in the menu bar, and click on Manage your Request Templates.

  2. Navigate to the Template that you would like to share with other Local Groups, and click on the share icon to the far right of the template.

  3. You will then be directed to a new page displaying the Local Groups you can manage. Tick and untick the Local Groups as appropriate and click the blue Copy to selected groups button to share the template.

    Please note

    Please note that the original and copied templates are not linked to each other. If the original template has been deleted or modified, these changes will not be carried across to the copied templates.
