Buyers can transfer their own Requests and Tenders to other Buyers within their organisation. Typically you would transfer a request when you're away or unavailable for an extended period of time and you require that the Request is still managed by someone.
Once the request is transferred, the request is managed within that account.
Depending on your enterprise's settings, you may only be able to transfer Requests and Tenders to people in your own Local Group. If your enterprise has this enabled, then only the Super Admin can transfer your request to another user in a different Local Group by impersonating your account.
Transferring a Request
You can follow the below steps to transfer a request to another user.
- To transfer a Request/Tender to another Buyer, click the three vertical dots to the right of the relevant Request/Tender and click the Transfer to another user option within the pop-up box.
- If your enterprise allows Buyers to transfer requests across Local Groups, you'll have the option to select the Local Group that the user is registered to.
If this is not enabled then you'll only see a list of other Buyers within your Local Group. In this case, you would need to contact your Administrator to request the transfer. See details below.
- From the users available to you, select the user you want to transfer the Request/Tender to.
- You can choose to transfer to another user temporarily or permanently:
- If transferred temporarily, the selected user will only be able to transfer the request back to the original owner. They will not be able to transfer the request again themselves to another user.
- If transferred permanently, the selected user will have full ownership of the request and can transfer it again to any other user whom they have access to.
- You can also queue the system to transfer, and transfer back, the request by selecting the On a certain date option and selecting the dates.
- Click the Transfer button to complete the transfer.
Transferring a Request to a Buyer in a different Local Group
If the Super Admin is required to transfer a request between Buyers in different Local Groups, then they will first need to impersonate the account of the Buyer who currently manages the request. See instructions here: Impersonating Other Users.
Then, follow the same steps above to select the Transfer to another user option against the request.
On the transfer page, you will see a drop-down list where you can choose the Local Group of the person you wish to transfer it to. Once you select the Local Group, the list of users below will refresh and display the Buyers within that group. Select the Buyer to transfer the request to.
Follow the same steps above, you can select to transfer the request permanently, temporarily and on a certain date. Click the Transfer button to complete the transfer.
