Individual scoring has a 'hub-like' interface for managing individuals' access to scoring while also having access to enough information to track how the individuals are progressing.
Panels members can be invited individually or all at once. There is some standard text that is included in the email but does support additional custom messaging to be included with the invitation.
Each invitation will send an email to the evaluator that will include the necessary details for them to access and participate in the evaluation. For existing users this will just include a link to the evaluation, for guest users, this will also include credentials to login as a temporary user.
There are a series of email reminders to keep evaluators on top of the process. This is the default setup for email notifications for individual scoring:
- Initial invitation - email to the evaluator
- 2 days until due date - email to the evaluator
- On the date due - email to the evaluator
- All individual evaluators have completed scoring - email to the procurement officer
When evaluators initially access the system to complete scoring they may be required to complete a conflict of interest declaration before they are able to access the responses. You can find information on this here: Conflict of Interest Declarations.
Prior to completing this the evaluator will be able to see the list of respondents but won't be able to access the details of those. The requirement for a conflict of interest can be turned on or off at a system level.
Once responses are accessed the evaluator will be able to see the offer amounts and download any documents that were allocated to them for the evaluation. The respondent would then engage in the scoring process by clicking the 'Go to scoring' button.
When scoring the evaluators will score each respondent one at a time.
They will respond using pre-set answer scales for each question that was defined in the earlier stages of the evaluation. Each answer will translate into a numeric score in the background. With each answer, the evaluators will also be able to provide a comment.
After individual scoring has started it's still possible to reassign documents and allocated team members. This is to ensure that the process can accommodate for change and new information becoming available.
