The information below provides an overview of how the Super Admin and the Panel Administrators can set up Rate Card Templates for your enterprise and how to manage access to rate card information.

Creating a Rate Card Template
Select Manage Rate Cards under the Admin Tools menu (either in the top menubar or on the homepage on the left-side menu).
From here, you may choose to create a new Rate Card Template by clicking on the + Add New button under Manage Rate Card Templates.
There are 4 steps to creating a new Template:
- Set details & approval options
- Define template headings
- Define template rows
- Set active status
Click the Get Started button to begin.
Set details & approval options
- Set a Template name by entering text in the free text entry box.
- Enter your Template description in the free text entry box.
- Select whether the Template you are creating is compatible with the QuoteBuilder by selecting the respective radio buttons.
- The QuoteBuilder allows a supplier to reply to a request/tender providing prices line by line. Selecting Yes to this setting will allow the supplier to use their Rate Card information for their prices when responding to a request. - Please note that if you select Yes to this setting then your template will need to include at least one heading using the 'Money' datatype (see next step).
- Select whether supplier submissions are MANUALLY approved by selecting the respective radio buttons.
- Click the Save and Continue button to proceed to the next stage.
Define template headings
In this stage, you will setup the headings that Suppliers enter information against in each column, going left to right. This forms the X-Axis of the Rate Card. An example use for this is to enter the '$ per hour', ' per day', etc. in the columns. You can set up to 20 Headings, which may be reordered as needed.
- Click the blue Add new heading button to the right of the page to add a heading.
- When adding a heading, you will be requested to add the following information:
- Heading name
- Description (optional but recommended)
- DataType: You will be asked to select what datatype you would like for the heading from the drop-down menu (eg. Text, Numbers, Money, etc)
- You will need to specify if the entry is optional or required by selecting the respective radio buttons.
- You will need to check or leave unchecked a checkbox that allows list admins to change the heading and description.
- You will need to check or leave unchecked a checkbox that allows list Admins to remove the heading.
- Once completed, click the blue Save Heading button to save the heading you have created.
Repeat the above processes to create a maximum of 20 headings for your rate card. - After creating your headings, navigate to the bottom of the page to review the List Administrator Options:
- Allow re-order of headings?: Check the checkbox to enable list admins to change the display order of headings.
- Enable additional headings to be added?: Check the checkbox to enable list admins to add additional headings.
- Click the blue Save and Continue button to progress to the next stage of the Rate Card Template creator.
Define template rows
Rows are the 'line items' the supplier fills in. These rows are either fully defined with a row label on each row or left blank for the supplier to add their own. A maximum of 200 rows can be entered either by you and/or the supplier.
You can add a row heading to provide some context to the rows if you wish and then add rows as required.
You can also select whether additional rows can be added by Panel Admins or not using the checkbox.
Once you have completed defining your template rows, click the blue Save and Continue button at the bottom of the page to progress.
Set active status
To set your newly created template as active, click on the blue Complete this template button at the bottom of the page.
Next, click on the green Active option to set the template as active, and click on the blue Save Status button to finalise.
Managing Rate Card Access
Panel Administrators are able to configure which users are able to download Rate Cards, or Rate Card comparisons results. This can be done on the Manage Access page. The information below provides instructions on how to manage access:
- Click on the Manage access button on the Manage Rate Cards page.
- On the Manage access to downloadable Rate Cards page, you will be presented with checkboxes for the different user types under two headings; Users can download Rate Cards and Users can download Rate Card Comparisons results.
- Tick the checkboxes to enable access or untick the checkbox to remove access for each user type. Once done with your settings, click the blue Save button to finalise changes.
