Managing User Access

All users requiring access to any VendorPanel module must be registered in our sourcing module; Go to Market. Users can be invited to register as a 'Buyer', 'Manager' or 'Administrator', depending on the level of access they require in the Go-to-Market module. You can read more about each option via the links below:

Additionally, users requiring access to any of the below modules must also have a 'User Profile' in the 'Control Panel'. The details added to a user's profile in the Control Panel drive their accessibility and permissions for the following modules:

  • Procurement Planning
  • Advanced Evaluations
  • Contract Management

Creating new User Profiles

This article outlines two processes for creating user profiles in the Control Panel, depending on whether auto-provisioning has been turned on or off in your system. If you are unsure, please reach out to our Support team or your Customer Success Manager.

Accessing the Control Panel

Administrators can access the Control Panel by clicking on the cog icon in the top right-hand corner of the screen. From there, they can select Security > Users and Groups from the menu to the left of the screen - this is where user profiles are created and managed.

If auto-provisioning is ON

In almost all cases, auto-provisioning will be enabled in your system. When auto-provisioning is enabled, the system automatically creates a user profile in the Control Panel after a user registers in Go to Market and attempts to access any module governed by the Control Panel.

The user profile will contain the following details by default:

  • Full Name
  • Email address
  • Enabled: Yes
  • Member of Groups: GTM SSO Users

Once the record has been created, additional required details can be added to the user profile by clicking on the "Edit" button.

Alternatively, you can create the user profile before inviting the user to register in Go to Market to proactively enter all required details.

If auto-provisioning is OFF

In some cases, auto-provisioning may be disabled in your system. This is typically only the case when modules are gradually being rolled out across your organisation (e.g. during a soft launch).

When auto-provisioning is disabled, the system does not automatically create a user profile in the Control Panel. In this case, you can create a new user profile by clicking on "Add User" at the top and then entering all required details.

Important: The 'User Name' entered in the Control Panel should be in all lower case and match the email used to invite the user to register in Go to Market.

Required User Details

The details added to a user's profile in the Control Panel drive that user's accessibility and permissions and can ensure they're captured in any approval routes (where applicable). Refer to the below table for more information on what details are required and when.

Ensures the user can view records within their department (applicable for Plans and Contracts only, not Evaluations).

Ensures the user can access Home, Procurement Planning, Advanced Evaluations and/or Contract Management.

Note: There may be additional User Groups which a user should be added to depending on their required level of access. See this help article on 'User Permissions' for more information.
