Some Supplier Lists have Rate Card requirements that the Vendor Admin will need to provide through their account. This allows Suppliers to provide their rates (prices) to Buyers who access that supplier list. Colleagues on that list are not able to provide qualification documents on their behalf.

Rate Cards are requested by the organisation that owns and runs the Supplier List. They can be created, allocated and managed by the Super Admin or Panel Administrators. You can find steps on how to set Rate Card requirements on a Supplier List here: Adding a Rate Card Template to a Supplier List
If there is an outstanding requirement to submit a Rate Card against a list, the Supplier will see this listed as a Critical Task on their homepage on the left. Clicking the Update your Rate Cards link takes them to the Supplier lists you manage page, which they can also access under the Admin Tools menu (either in the top menubar or on the homepage on the left-side menu).
The instructions below are for completing a Rate Card:
- On the Supplier lists you manage page, they will need to click on the red Update button under the 'Required Rate Cards' column.
- They will then be asked to complete or update the Rate Cards. There may be multiple Rate Cards depending on what the Buying Organisation has added to the list. They need to click on the Fill this Rate Card button to complete the respective Rate Card.
- On this page, they will find Description/Instructions at the top of the page which has been included by the List Owner regarding the Rate Card.
- Below that, the What are the effective dates for this Rate Card fields refer to the time period that their rates apply to. The minimum effective period they can nominate is 14 days. They will be prompted to update their Rate Card once the effective dates have passed. To edit the effective dates, they need to click on the field and this will open a pop-up calendar where they can select their desired starting date.
Please noteThe Panel Administrator may set and lock the date in for one of or both the 'From' and 'To' date fields. This will mean they cannot change the date for that field.
- Once they have allocated the effective dates for your Rate Card they need to click the Save these dates button located on the right.
- In the Enter Rate Card data field, they are required to add information for each of the items included by the Panel Administrator. The word Incomplete will be present next to Rate Card items that require completion. Once they have completed entering data for all the items they can add their own additional items.
- To add information for each item they need to click on the blue pen and paper icon next to the respective item.
- This will expand the box where they will be able to enter information on their rates based on what the Panel Administrator has requested.
- Once they have completed entering their rates they need to click on the Save button to save their progress. Alternatively, they can click on the Save and complete another button to save their progress and move on to the next Rate Card item. If they would like to stop entering information for their Rate Card they can click the Cancel button located on the bottom right.
- They can preview their completed Rate Cards by clicking on the blue Preview your Rate Card button located on the top right of the Enter Rate Card data field.
- Once they have completed all Rate Card items, the word Complete will appear next to the completed Rate Card items. Additionally, if all Rate Card items have been completed, (100% complete!) will appear in bold green lettering at the top of the Rate Card.
- They will now have the option to add new Rate Card items by clicking the Add new item button located in the bottom right. They'll need to set a name for the item, an optional description and rates for each requirement.
- Once they have completed their Rate Card they can click the Submit Rate Card for approval button to submit the rate card to the Panel Administrator to review and approve.
- Upon submitting your Rate Card for approval they will be greeted with a new page informing them that their submission is pending approval. If required, they can select Edit Rate Card or Preview rate card. They will be notified via email if their submission is approved or declined.
